The Career-Breaking Flaw That Is the Broken Promise

The Career-Breaking Flaw That Is the Broken Promise Breaking a promise is one of thebiggest mistakes that a person canmake in their career. Broken promises are a problem because Theydiminish the value of your wordPeople want to count on you when you say you will do something. If you regularly drop the ball, people will rely on you less. They cause you to lose opportunitiesIf you regularly break your promises, people will not want to have you on their projects, teams, and/or committees. They lower yourself-esteemYou may not know why you dont come through on your commitments, but knowing that you arent holding up your end of a deal can make you question your own integrity.Do you writedown action items and then complete only some of them? Do you miss deadlines? Do you make commitments andinconsistently deliver? If you said yes to any of these questions, you are breaking promises, andthat means you are hurting your reputation and future career prospects. Here are four ways to start building a reputation for reliability, delivery, and contribution after youve broken a promiseDont forget the things that you promise to doThe best way to do this is to keep a written record of your promises. When you take action items voluntarily or via assignation, put them on a list. This keeps the specifics of your responsibilities in an easily accessible physical place. Youmight otherwise forget them if you store them only in your mind.Clarify what is expected of youEnsure that you and those you work with are synchronized. Match what you believe you are supposed to be doing with the expectations other people have of you. Get confirmations in writing. An example of this might bewriting a summary of a meeting which identifies the action items you are to take and sharing it with others.Give people the opportunity to respond by saying something like, If there is something that you anticipate me doing th at is not on this list, please reply and let me know right away so I can be sure to fulfill all of myresponsibilities.Take on lessThere will almost always be more things for you to do than you can possibly attend to. Do only those things that are of highest importance and be clear that you will not be doing the rest.Make sure others share your priorities.Use as promised in your communicationsWhen writing follow-up emails or talking to people, state specifically that you are delivering on your commitment. For example, say, We discussed the trigger list for creating your list of things to do. As promised, I am sending the list to you attached to this email. If you might miss a deadline or have to stop one project to give attention to another, renegotiateYou will need diplomacy and tact to deliver your message and receive understanding and acceptance that things have changed. However, you will also get credit for integrity and keeping your eye on the ball.

5 Key Requirements of Sarbanes-Oxley Compliance

5 Key Requirements of Sarbanes-Oxley Compliance5 Key Requirements of Sarbanes-Oxley ComplianceThe basic requirements of the Sarbanes-Oxley Act are relatively well-known, having been in effect for more than a decade now. Section 302, which requires that the CEO and CFO personally attest to and sign quarterly and annual financial statements, subject to criminal prosecution for false attestation, has received significant media coverage. Also thoroughly discussed in professional publications and the media are the relatively stringent requirements for maintaining controls over financial reporting promulgated under Section 404, and the requirement to produce an independent auditor-verified annual internal control report detailing these controls.A number of other requirements mandated by Sarbanes-Oxley, however, remain less familiar and deserve further elaboration. Here are five examples1. Private companies and nonprofitsMost people assume that the requirements of the Sarbanes-Oxley Act appl y to public companies only, but this is not the case. The act forbids all businesses, including private companies and nonprofits, from illegal destruction of financial records and retaliation or other infringement on the rights of whistleblowers.2. Public Company Accounting Oversight Board exclusivityYou probably know that Sarbanes-Oxley also created the Public Company Accounting Oversight Board (PCAOB). Whats less commonly discussed is that, to assure objectivity and avoid conflicts of interest, the act also specifies that PCAOB members must not engage in any other professional or business activities while serving on the board. The PCAOB code of ethics details the embargo on outside professional activities and also forbids investments in public accounting companies.3. Audit committee independence and auditor prohibitionsThe job of the audit committee of a board of directors is to set up robust internal audit systems to review the financial controls of the enterprise. Sarbanes-Oxley requires that all members of the audit committee be independent of the company. It also sets standards that restrict the compensation audit committee members can receive from the company for service on the board. In addition, the accounting firm performing an independent audit of a company is prohibited from providing other accounting services to the company it is auditing. These scope-of-service restrictions are broad and include internal audit outsourcing, investment advice, management or human resources functions, financial-information-system design, implementation services and legal or other expert consultation.4. Publishing code of ethicsThe Sarbanes-Oxley Act also mandated that the SEC issue a rule requiring a public company to disclose whether it has adopted a code of ethics for its senior financial officers and, if so, to make the code of ethics available to the public. Now, virtually all public companies publish a code of ethics on their website.5. Extent of increased whist leblower protectionsIn addition to increased protections for whistleblowers, Sarbanes-Oxley also requires that an audit committee must set up systems for employees to file internal whistleblower complaints while protecting their confidentiality. According to the National Whistleblowers Center, the obstruction of justice statute welches also revised to criminalize retaliation against whistleblowers providing truthful information to law enforcement personnel regarding the commission or possible commission of any federal offense. Furthermore, this provision applies to all employers, not just public companies.More than a decade has passed since the enactment of Sarbanes-Oxley. Its key components, some well-known, some such as these five less so, have, by and large, created the increased transparency and accountability the public demanded at the time of its passage.Want more insights on how to succeed in your finance career, and build and manage a winning team? Top Five Scariest HR Scenarios (And How to Avoid Them)

Top Five Scariest HR Scenarios (And How to Avoid Them) Top Five Scariest HR Scenarios (And How to Avoid Them) It’s that time of the year.  Pumpkin-spiced is invading everything from coffee to your morning bowl of cereal.  The leaves are falling and goblins, ghouls, and monsters (oh my!) are lurking in your neighborhood with hands open for free candy.   While the threat of consumption of over-priced, seasonally themed lattes and cavities from sugar overload is on your day-to-day radar, there are other more nefarious scenarios lying in wait for unsuspecting candidates, hiring managers and other professionals.  Whether its during the interview or after, while on the job, there are certain statements and behaviors that cause nightmares for the HR set and could lead to missing out on or losing that job of your dreams.   All hope is not lost, however.  Like a trusty flashlight on a late-night trick-or-treating run, we’ve got a few treats to help you avoid these tricky situations.     Disabilities While some physical impairments are outwardly obvious, others are harder to pick up on when candidates and potential employers meet in the interview room.  Regardless of how they may be physically expressed, employers are prohibited from making hiring decisions based on disability.  Similarly, once an employee has been hired their disability can’t be considered when making decisions regarding retention, performance or compensation.  Things get a bit tricky when a job requires some kind of physical activity and certain disabilities may impact a person’s ability to perform essential job functions.  A good rule of thumb is to list all physical and mental requirements of the role in the initial job description and ask a candidate broadly whether they are able to perform these tasks. Race or Ethnicity Much has been written lately encouraging people to avoid cultural or racial misappropriation in their choice of costumes for this year’s spooky shenanigans.  Hiring decisions based on these grounds are also a no-no.  Beyond just being in bad taste, however, asking questions regarding a candidate’s ethnicity or discriminating based on race is also illegal.  National origin is a similarly prohibited topic, with one big exceptions.  Employers are allowed to ask applicants across the board if they are legally able to work in the U.S. based on current employment and immigration laws.   Interoffice Dating This topic is geared more towards things candidates and current employees should do, or not do.  While you may be feeling amorous after a couple glasses of witches brew at the local after work watering pub, dating your coworker may be setting yourself up for a variety of ghoulish consequences back at the office.  Most companies strictly prohibit interoffice relations between direct reports and some even frown upon dating within the same department.  Your company should have a code of conduct that clearly spells out these restrictions, along with any mandatory reporting or disclosures that must be made if you do decide to roll the proverbial dice.  Thoroughly review these guidelines in order to avoid getting a scary surprise via a reprimand. Kids and Questions About Kids Kids and Halloween go together like apples and bobbing, eyeballs and witches and chocolate and peanut butter.  While this spooktacular time of year may be perfect for dressing that little one up like the most adorable 102nd dalmatian ever, kids are a more taboo topic when it comes to employment.  Employers shouldn’t ask potential candidates about whether they have or plan on having children.  Needless to say, this also puts questions about whether female interviewees are pregnant off the table.  As a final word of warning to ladies and gentlemen, employees or employers alike, whether in the workplace or in public you should probably avoid asking a woman you assume is pregnant, when they are due.  Not only is it embarrassing when that extended tummy is actually just a byproduct of too mucHalloweenen candy, it can also get you into HR hot water at the office. Drinking, Smoking and Other Social Habits Our final list of HR scares comes in the form of social or recreational habits.  While it may be pertinent to your party plans to get an accurate count on those jello eyeball shots, whether an interview candidate drinks, or smokes for that matter, is firmly off limits as a screening question.  The idea behind this fear-inducing faux pas is that employers may avoid making offers to candidates they feel engage in out of office drinking or that will use company resources for smoke breaks. When it comes to existing employees and potential candidates, a little imbibing from time to time certainly isn’t anything to cause any heart palpitations, but posting pictures of wild drinking nights on your social media accounts could make an employer think twice about your professionalism.  And although it shouldn’t need to be said, unless you’re job involves being the life of the party at the local watering hole, keep the alcohol out of the office and skip that lunchtime cocktail or glass of wine. Keep these handy tips in mind and you’re sure to have a scare and HR visit free halloween this year and for years to come.

3 Steps to Writing Your Professional Will

3 Steps to Writing Your Professional Will 3 Steps to Writing Your Professional Will Create a career “I WILL” list so your dreams will never die. Fact: I am a huge fan of the television series NCIS. In a recent episode, one of the characters unearthed an “I WILL” list she wrote when she was a young child. It contained the kinds of dreams you’d expect a young girl to have: “I WILL be a ballerina, ride a horse, live in a castle, have a boy and a girl…”It got me thinking, “How long has it been since I last wrote down my hopes and dreams? When was the last time I allowed myself to take a step back and dream big?”As we usher in a new year, I urge you to write your own WILL. Consider it your professional bucket list. Fill it with what leadership expert Jim Collins calls your Big, Hairy, Audacious Goals (BHAGs). They should be long-term, visionary goals that you want to accomplish over the course of your career.Follow these three steps to write an effective WILL.ReflectWhat would you like to accomplish in your professional life over the next 10 or more years? For instance, you may wish to make a major career transitio n or perhaps you aspire to become a CEO one day. Close your eyes and tap into your childhood dreams. What did you want to be when you grew up? While those fantasies may not make sense today, they could give you clues as to what professional accomplishments you would find most fulfilling. Need more help? Click on the following link to access more job-goal exercises.WriteYou are ten times more likely to achieve your goals if you write them down. Once you’ve brainstormed your WILL, document it. When you successfully achieve this goal, what will that look like? What will be the outcome? Go through this process for every item on your list. Post a copy of your WILL someplace you’ll see it on a regular basis, such as the sun visor in your car or a wall in your home office. Better yet, enter your WILL into your phone using an app like Evernote so you have the list with you at all times.PlanThe beauty behind the WILL is that you’re not expected to accomplish these goals any time soon. You have loads of time to acquire the appropriate skill sets, make the right connections, and gather whatever other resources are necessary to help you succeed. Consider which of your dreams you’re likely to tackle first and decide on an action plan for the year. For instance, this might be your year to research what it will take to become a New York Times best-selling author so you can create smaller milestones to meet that goal over the next five years.

Make Sure Your Resume Tells a Story

Make Sure Your Resume Tells a Story Make Sure Your Resume Tells a Story Just saw this great comment on a blog post about storytelling as it relates to marketing: Twenty years ago, a used car salesman said to me, Facts tell, stories sell. This is just as true of your resume as it is of a product. If youre not getting a great response, look at your resume again and ask yourself if it tells the story of your career or simply recites a bunch of facts. To learn more about telling a story with your resume, feel free to sign up for my free resume writing course. Helpful strategies for people who are new to networking

Helpful strategies for people who are new to networking Helpful strategies for people who are new to networking Many people will tell you that you should be networking, and that it’s really important in your career. In reality, forced networking is rarely productive. Going to events and pinging people on LinkedIn, all for the sake of “knowing” more people, won’t get you anywhere worth going. For networking that is worthwhile, you need to have a direction. If you’re currently working in one job but are thinking of moving into another field, go where people in that field are. If you’re thinking of going out on your own and becoming a founder, go where founders and VCs go. Get more strategic than ever.Don’t go to just any and all events in that space. Find the best ones. Ask people senior to you, colleagues, and friends. Find out where you should spend your time so you don’t waste it.Walk into each event with a clear purpose in mind and stick to it.Be friendly, open, and willing to meet anyone - all while staying aware of your goal. Ask questions and be genuinely interested in the answers.Don’t ask for things from the people you meet. That’s for later on. Open up to them about what you’re looking to do without pitching, and without endangering your current job.As you network, keep in mind that you don’t want to be the smartest person in the room. If you are, then you’re in the wrong room. You want to learn from people smarter than you about something. I try to be the second dumbest person in the room. But if I’m the dumbest, that’s perfectly OK too.Invest in relationships. If someone does you a favor or makes an introduction that yields a big reward like funding, customers, hires, etc., send them something nice. If you put the time and effort into building positive relationships, you may not even have to ask when you need something. When I launched my coffee alternative company SUTRA, I wrote a post about it on my public networks. Quite a few highly influential connections asked, “What can I do to help?”I also recommend creating a list of p eople you’ve worked with, worked for, partnered with, been mentored by, or provided services to, whom you want to work with again. Find the chance to do so when the time is right. This system has come in handy for me time and time again. Some relatively introverted people especially feel nervous about networking. This is understandable. I advise them to try to make a game out of it. At each networking event, just go in with the goal of doing better than you did last time. For example, tell yourself, “OK, I’m going to meet three potential customers, advisers, or investors.” Before the event, consider the criteria that would make people successful new connections. When meeting people, have your go-to story to become memorable. Perhaps a recent story from your work life that’s funny but also relevant because it highlights your skills. Also, be sure to have a go-to intro for yourself, in which you describe your work in ten seconds or less. This is shorter than an elevator pitch, and very helpful. And remember, in all your conversations, asking questions and listening is the most important part. The person who controls the questions controls the conversation.Learn how to exit a conversation gracefully. Some people may want to keep talking while you want to mingle. It can be helpful to say something like, “Oh, I’ve just spotted someone I need to catch before she leaves. Would you excuse me?”Finally, I recommend that you always be the one to get the other person’s contact information. Get their card, and follow up. As a rule, I don’t even hand out business cards. I just ask people for them. That way, I’ll do the first reach out afterward and build the relationship.(This answer is adapted from my book, Career Hacking for Millennials.)This post first appeared on Quora.

What wall climbing taught me about powerful presentations

What wall climbing taught me about powerful presentations What wall climbing taught me about powerful presentations “On belay … Belay on!”If you’ve ever taken rock or wall climbing lessons, you are familiar with this call and response. Belaying refers to a variety of techniques climbers use to communicate and keep each other safe during a climb. When the lower climber (the belayer) has secured the rope, she calls up, “On belay.” My translation: “I’ve got your back. You’re good to go.” The higher climber then responds, “Belay on,” before moving to the next hand or foothold.Tethered together and perched on the side of a mountain (even one made of concrete), it’s not hard to see why strong communication is essential for a team. Your life is literally in another’s hands. But the concept of being on belay applies to any activity requiring a high level of performance. Let’s consider how this concept applies to giving presentations as a team or individually.Belaying is all about mindsetYes, I first learned about belaying when wall climbing with my son. But I’ve since appli ed the concept to many aspects of my life because at the core, belaying is all about mindset. It’s knowing that you aren’t going to fall. It’s knowing that a small mistake doesn’t spell failure or disaster. Whenever I prepare for a presentation, I come back to the idea of being on belay. I ask, “what do I need to feel confident that I’m good to go?”The answer, of course, varies depending on the type of presentation, the anticipated audience, the venue and whether I’ll be alone on stage or speaking as part of a team. Let me explain further. How to be “on belay” as a teamIf you’ve ever been part of a group presentation, you know it’s very different from presenting by yourself. For one thing, there’s a lot more to think about. For example: Continuity of content. Presentation dynamics. Each team member’s specific role. The approach (or “tone”) of individual components. The logistics of the interactions between team members during the presentation. You want to make sure every member of your team understands each element to avoid any weak links in the chain. Additionally, maximizing the expertise of each speaker depends on ensuring everything runs like clockwork from start to finish. When it’s done right, the results speak for themselves. Whether you’re presenting with a team of two, three or seven, it’s absolutely critical to be “on belay” for each other. Here are a few keys to a winning team presentation.Practice out loud both individually and as a teamRealize that a presentation that’s “well done” on paper is only about 70% done in reality. Until you’ve rehearsed out loud, you can’t truly tell what works and what doesn’t, what wording trips you up, what concepts are too complicated for even the most attentive audience or what just doesn’t sound like you. This is especially true if you’re presenting as a team and several team members have contributed to the writing of the presentation. It is essential t hat each team member practices his “part” and feels comfortable with the wording and ideas contained there.Rehearsing together as a whole team is also crucial to success. I once worked with a sales team who came to me after a pitch had fallen flat. The client feedback was that they didn’t present themselves as a team. Yikes! One of the first questions I asked was whether they had rehearsed ahead of time. Their answer, of course, was that they practiced on the drive in. Sorry. That’s no substitute for a complete team rehearsal. Put in the time and see the results for yourself.Rehearse handoffsBesides making each team member comfortable with his role, rehearsing also helps teams develop smooth transitions. Decide in advance who will open, who will close and - especially important - how you’ll transition from one speaker to the next. A strong open and close, as well as smooth transitions speak volumes and differentiate you from your competition. Figuring it out on the fly a lso says a lot - and not in a good way.The whole team is always “on”Another element of a truly polished team presentation is remembering that the whole team is always “on” during the presentation. You want to look and act like a team throughout. Keep in mind that even when you don’t have the mic in your hand, members of the audience can see you. If you look bored, grimace, or interrupt a teammate while she’s presenting, it reflects poorly on the whole team.Team members should all look engaged, supportive, and affirming from beginning to end. Being “on belay” for your team means that you are all responsible for the success of the presentation. Don’t single anyone out. Work together and you’ll have the audience eating out of the palm of your hand. How to be “on belay” as an individualWhile it may not be as obvious, you can also be “on belay” when giving a presentation individually. Again, go back to the belay mindset. What do you need to feel confident that you are good to go? This is what I call being “on belay” for yourself.Practice out loudJust as successful teams practice and rehearse together, successful individual presenters always practice out loud. While you might think you’re ready to go after reading through your presentation and practicing in your head, remember your reading speed likely varies from your speaking speed.Practice out loud to locate awkward phrasing and word choices that might trip you up. Consider gathering a group of trusted friends or colleagues for a practice session. That has the added bonus of giving you feedback from live audience members. Those listening don’t need to know much or anything about the subject matter to give you meaningful feedback.Profile the event and logisticsEven experienced speakers can get tripped up by an uncommon venue or logistics that catch them off guard. Remember giving a presentation requires a high-level of focus. If you’re not on belay for yourself, even small sur prises can throw you off.For instance, if you’re used to speaking with a lapel microphone, using a handheld mic might feel awkward. Suppose you like to use hand gestures to emphasize points. Having to hold a mic in one hand can feel really constricting. It may also hard to know how close to your mouth you should hold the mic.Knowing ahead of time exactly what you’re walking into helps you avoid these types of awkward moments that can erode confidence. So, if possible, visit the location where you’ll be giving the presentation ahead of time. At the least, talk with the event organizers and ask them about the logistics. While these may seem like small issues, I’ve seen presenters stumble and lose their audiences for even less.Have a plan for any unpredictable issuesOne of the most important reasons to be “on belay” for yourself is so that you can handle any unpredictable issue during the presentation with poise. In a perfect world, audiences would judge our words and our w ords alone. In reality, your audience’s perceptions are colored by all kinds of things from how you dress to how you deal with issues that are not your fault. What if your PowerPoint doesn’t work? What if your clicker stops working? What if you’re using a teleprompter and it stops scrolling in the middle of your speech?I recall one big government presentation I was giving regarding environmental regulations. With legal presentations, precise wording is critical. So, the speech was carefully scripted. I was also presenting with a partner, who spoke first. When my turn to speak came, I realized my partner had accidentally taken two of my pages.Fortunately, because we had practiced together, I had the presence of mind to walk over to him and calmly ask for pages 9 and 10. Spotlight on The Thomas A Edison Patent Award Spotlight on The Thomas A Edison Patent Award Have you considered nominating a deserving colleague for ASME's prestigious Thomas A. Edison Patent Award, which is given annually to a distinguished inventor? The Thomas A. Edison Patent Award recognizes eminent creative achievement in the form of a patented invention, which is broadly recognized as significantly enhancing some aspect of the practice of mechanical engineering or having a significant impact on at least one industrial or commercial sector. These impacts may include creating a new business or industry; substantially improving the efficiency or productivity of an existing machine or process; dramatically reducing the size, weight or resource (e.g., energy, water) requirements in an existing machine or device; improving the quality of life; or financially impacting an existing business or industry. The nomination should focus on a single patent rather than the inventor's entire body of work. The 2012 Edison Patent Award was given to Vipin Kumar, associate professor of mechanical engineering at the University of Washington, for his work with polymeric foams. Kumar's invention has enabled a breakthrough for the manufacturing of solid-state polymeric foams, which led to the creation of a new business with a wide range of applications, from sustainable, recyclable food packaging materials to novel, high energy-efficient construction materials. Previous recipients include Jyotirmoy Mazumber for the development of the first closed loop Direct Metal Deposition technology, where functional engineering components can be made in near net shape directly from computer-aided design; Kyriacos A. Athanasiou, for addressing significant health problems of articular cartilage repair through the invention of a patented technology, which at that time was the only implant used worldwide to treat focal cartilage lesions in the knee; and Norman R. McCombs, for developing pressure swing adsorption technology that led to the invention of the first portable oxygen concentrator. The award, which is presented at the ASME International Mechanical Engineering Congress and Exposition, consists of a certificate, a bronze plaque, a $1,000 honorarium and a travel supplement to attend the Congress. The deadline submitting nomination materials for the Thomas A. Edison Patent Award has been extended to Feb. 15, 2013. For more information, please visit the Thomas A. Edison Patent Award page.
